Refund & Cancellation Policy

At ZAIRA Packers & Movers, we are committed to providing reliable, professional, and transparent packing, moving, transportation, and relocation services. This Refund & Cancellation Policy explains the terms under which bookings may be cancelled and refunds may be issued.

By booking our services, you acknowledge and agree to the terms outlined in this policy.

1. Booking Confirmation

A booking is considered confirmed once:

  • Your service request has been accepted by ZAIRA Packers & Movers.
  • Required booking details have been received.
  • Any agreed advance payment has been successfully received, where applicable.
  • A booking confirmation has been provided by our team.

2. Customer Cancellation Policy

Customers may request cancellation of a booking by contacting us through phone or email.

Cancellation requests should be made as early as possible to allow us to manage manpower, vehicles, and scheduling efficiently.

3. Cancellation Before Service Assignment

If a cancellation request is received before any vehicle, packing team, or resources have been assigned, the booking may be cancelled without additional service charges.

If an advance payment has been collected, any eligible refund will be processed after deducting applicable administrative or transaction charges, if any.

4. Cancellation After Resource Allocation

If the cancellation request is made after our team has allocated vehicles, labour, packing materials, or other operational resources, cancellation charges may apply.

These charges help cover expenses already incurred in preparing for the scheduled move.

5. Cancellation on the Scheduled Moving Day

If the customer cancels on the scheduled pickup date, or after our team has reached the pickup location, cancellation charges may apply for:

  • Vehicle reservation
  • Labour deployment
  • Packing material preparation
  • Fuel and travel expenses
  • Operational costs already incurred

The exact amount, if applicable, will depend on the stage of service completion and expenses incurred.

6. Customer Not Available

If our team arrives at the pickup location and:

  • the customer is unavailable,
  • the premises are inaccessible,
  • incorrect address details were provided,
  • required permissions are not available,
  • or the move cannot proceed due to customer-related reasons,

additional waiting, rescheduling, or operational charges may apply.

7. Rescheduling a Booking

Customers may request to reschedule their moving date, subject to:

  • Vehicle availability
  • Staff availability
  • Service area coverage
  • Operational scheduling

While we will make reasonable efforts to accommodate your request, rescheduling cannot be guaranteed for the originally requested time.

Additional charges may apply if significant operational changes are required.

8. Refund Eligibility

Refund eligibility depends on several factors, including:

  • The stage of the booking process
  • Whether manpower or vehicles have been assigned
  • Whether packing materials have been prepared
  • Whether transportation has commenced
  • Actual operational expenses already incurred

Each request is reviewed individually to ensure a fair outcome.

9. Situations Where Refunds May Not Be Available

Refunds may not be available in situations including, but not limited to:

  • Cancellation after services have started.
  • Cancellation after vehicles have been dispatched.
  • Cancellation after packing has commenced.
  • Incorrect booking information provided by the customer.
  • Customer refusal of service after commencement.
  • Delays or interruptions caused by the customer.
  • Services substantially completed.

10. Company-Initiated Cancellation

If ZAIRA Packers & Movers is unable to provide the booked service due to operational reasons within our control, customers may be offered one of the following:

  • Rescheduling the service to a mutually convenient date.
  • A partial refund, where applicable.
  • A full refund of eligible advance payments, depending on the circumstances.

11. Force Majeure

No refund or compensation shall be payable for delays, rescheduling, or cancellation caused by circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Earthquakes
  • Severe weather conditions
  • Fire
  • Government restrictions
  • Curfews
  • Road closures
  • Strikes
  • Public emergencies
  • Pandemic-related restrictions
  • Civil disturbances
  • Mechanical failures beyond reasonable control

In such situations, both parties will work together to reschedule the service where feasible.

12. Refund Processing

Where a refund is approved:

  • Refunds will be processed using the original payment method wherever possible.
  • Processing times may vary depending on the payment provider, banking institution, or payment gateway.
  • Customers will be informed once the refund has been initiated.

13. Non-Refundable Expenses

The following expenses, where already incurred, may be non-refundable:

  • Packing material costs
  • Vehicle reservation charges
  • Labour allocation costs
  • Fuel expenses
  • Toll charges
  • Administrative processing costs
  • Third-party transportation bookings

14. Customer Responsibilities

To avoid unnecessary charges or delays, customers are requested to:

  • Provide accurate pickup and delivery addresses.
  • Confirm the moving date in advance.
  • Ensure access to the pickup and delivery locations.
  • Inform us about fragile, oversized, or special items before the scheduled move.
  • Notify us promptly if any booking details change.

15. Service Quality Concerns

If you are dissatisfied with any aspect of our service, please contact us as soon as possible.

We value customer feedback and will make reasonable efforts to investigate concerns and resolve issues fairly.

16. Changes to This Policy

ZAIRA Packers & Movers reserves the right to update or modify this Refund & Cancellation Policy at any time.
