Office Shifting Checklist: How to Move Without Losing a Working Day
An admin's playbook for office relocation — IT, modular furniture, files, vendor coordination and a clean weekend cutover.
An office move that loses one working day costs you a lot more than the moving bill itself. Here's how admins we work with plan office shifts to lose zero working days.
Four weeks before
Confirm new office handover date and any pending fit-out work — never schedule a move into a half-finished office.
Walk both floors with your mover; agree what gets packed, what gets discarded, what gets sold.
Book the move for Friday night to Sunday.
Two weeks before
IT team: photograph every workstation's cable arrangement so reconnection is faster.
Inform clients about the address change — and update GST registration, bank, ROC, MCA, courier vendors.
Decide on the seating plan at the new office. Print a colour-coded floor plan; assign each workstation a colour and number.
Move weekend
Friday after 6 PM: packing starts. IT shuts servers down per their SOP.
Saturday: loading at old office, unloading at new office, modular reassembly.
Sunday: IT reconnects, admin places personal items on each desk per colour code, you walk the floor with the mover and sign off.
Monday morning the team walks in, finds their workstation by the colour code, plugs in, and works. Zero days lost.
